Purpose:

The Austin Hatcher Foundation for Pediatric Cancer is a nonprofit organization committed to erasing the effects of pediatric cancer and optimizing quality of life through comprehensive care and services. From diagnosis through survivorship, we empower children and families by providing access to life-changing therapies, education, and support—always at no cost to them.

Overview:

The Development Coordinator is a key member of the fundraising team, ensuring seamless execution of development operations that enable the team to meet and exceed its $5M revenue goal. This individual is responsible for managing the donor database, ensuring accurate gift processing and acknowledgments, supporting donor stewardship, and assisting in the coordination of campaigns, events, and internal systems.

This role provides the operational foundation for the development team and plays a critical role in ensuring the team’s efficiency, professionalism, and data-driven decision-making.

Key Responsibilities

Core Responsibilities:

  • Publicize the mission of the Austin Hatcher Foundation for Pediatric Cancer
  • Be an advocate for families dealing with the effects of pediatric cancer.

Job Specific Responsibilities:

CRM & Donor Database Management (System owner)

  • Maintain donor data integrity and accuracy across all giving channels
  • Execute data imports/exports, deduplication, segmentation, and queries
  • Ensure donor communications are logged and gift history is accurate
  • Generate and distribute weekly, monthly, and quarterly development reports
  • Run dashboards for Director of Development, CEO, and Board reporting

Gift Processing & Acknowledgments

  • Accurately record all donations within 48 hours
  • Prepare and send acknowledgment letters and tax receipts
  • Track soft credits, pledge balances, recurring gifts, and tribute gifts
  • Work with Finance to reconcile revenue and ensure audit compliance

Donor Stewardship & Engagement Support

  • Maintain donor recognition lists for publications and events
  • Support execution of stewardship plans (calls, mailings, touchpoints)
  • Assist in preparation of materials for donor visits and meetings
  • Coordinate logistics for donor tours and on-site experiences

Fundraising Campaign & Event Support

  • Assist with data segmentation and execution of direct mail/email appeals
  • Support donor list generation, RSVPs, and follow-up for fundraising events
  • Help track sponsorships, guest lists, auction donations, and follow-up

Requirements

  • Bachelor’s degree  
  • Minimum of 2 years of experience in nonprofit fundraising or operations
  • Familiarity with donor CRMs (AHF uses Bloomerang)
  • Meticulous attention to detail and commitment to accuracy
  • Strong organization, task management, and follow-through
  • Ability to work independently, with minimal supervision
  • Demonstrable ability to multi-task and adhere to deadlines
  • Well-organized with a detail-oriented approach
  • Exquisite communication and people skills
  • Must have a valid driver’s license
  • Ability to walk, bend, hear, see and lift 25 pounds
  • Passion for the mission of the Austin Hatcher Foundation and a deep commitment to improving the lives of children and families affected by pediatric cancer.
  • Must successfully complete a credit and criminal background check
