About this Role

The Volunteer Services Manager plays a vital role in supporting the mission of the Austin Hatcher Foundation by overseeing all volunteer engagement efforts across the organization. This includes recruiting, onboarding, training, and coordinating volunteers from various backgrounds and groups, including the Teen Ambassador Program and Parent Volunteers. The Volunteer Services Coordinator will work in close collaboration with the Human Resources department to ensure all volunteers are properly vetted and background checked. This role is key to cultivating a positive, mission-driven volunteer experience, and ensuring that all volunteer efforts align with the Foundation’s values and standards.

Key Responsibilities

  • Publicize the mission of the Austin Hatcher Foundation for Pediatric Cancer
  • Be an advocate for families dealing with the effects of pediatric cancer.
  • Other duties assigned

Job Specific Responsibilities:

Volunteer Program Coordination

  • Design, develop, and implement the Foundation’s volunteer strategy to support clinical programs, clinical and development events, as well as community engagement initiatives.
  • Coordinate all volunteer groups including:
    • Teen Ambassador Program
    • Parent Volunteers
    • Corporate and Civic Group Volunteers
    • Individual/Community Volunteers
  • Build and maintain strong relationships with volunteers to encourage continued involvement and engagement.

Recruitment & Onboarding

  • Coordinate with Marketing Department on targeted recruitment strategies for various volunteer roles and demographics.
  • Partner with the clinical team to identify volunteer needs for programs and clinical events, ensuring alignment with patient care and program goals.
  • Coordinate with Marketing to promote volunteer opportunities through social media, newsletters, and the website.
  • Oversee the onboarding process including:
    • Application management
    • Volunteer orientation and training sessions
    • Policy/procedure education and volunteer handbook distribution
  • Collaborate with HR to ensure completion of background checks and proper recordkeeping for all volunteers.

Teen Ambassador Program Oversight

  • Lead all planning, coordination, and execution of the Teen Ambassador Program:
    • Coordinate annual recruitment and application process.
    • Develop and deliver monthly training sessions and leadership development workshops.
    • Work with Family Services and Development teams to identify volunteer needs and opportunities.
    • Organize community service opportunities and Foundation event involvement.
    • Mentor and support student leaders and oversee related committees or subgroups.

Volunteer Engagement & Retention

  • Ensure volunteers are engaged, appreciated, and feel connected to the Foundation’s mission.
  • Plan and execute volunteer recognition events and initiatives.
  • Regularly communicate with volunteers to provide updates, share opportunities, and gather feedback.
  • Develop systems to track volunteer hours, impact metrics, and evaluations.

Program Coordination

  • Work closely with Foundation staff to match volunteers with program and event needs.
  • Assist with planning and coordination of Foundation events where volunteers are needed.
  • Provide or ensure necessary on-site supervision of volunteers during events or programming as needed.

Administration & Compliance

  • Maintain up-to-date volunteer records, background check documentation, and contact lists.
  • Create and maintain a calendar of volunteer opportunities and commitments.
  • Train and integrate Volunteer Local Software with NEON CRM  (https://www.volunteerlocal.com/)
  • Develop volunteer policies, training materials, and procedures.
  • Ensure compliance with all regulatory requirements and Foundation standards.

Requirements

  • Bachelor's degree in nonprofit management, human services, education, or a related field preferred.
  • 5+ years of experience in volunteer coordination, youth leadership, or program management.
  • Strong organizational and project management skills.
  • Excellent communication and interpersonal skills.
  • Ability to work with individuals of all ages and backgrounds.
  • Proficient in Microsoft Office and volunteer management platforms (e.g., JotForm, Excel, etc).
  • Experience working with teens and youth leadership programs a plus.
  • Valid Driver’s License
  • CPR/First Aid certification (or willingness to obtain) preferred.
  • Ability to walk, bend, hear, see and lift 25 pounds
  • Passion for the mission of the Austin Hatcher Foundation and a desire to contribute to its growth and success.
  • Must successfully complete a credit and criminal background check

Work Environment & Expectations:

  • This is a full-time position requiring some evenings and weekends, especially during event seasons or volunteer programs.
  • Willingness to work in a fast-paced, mission-driven environment with a high level of initiative and collaboration.
